Data privacy information

In all respects of data processing (e.g. the collection, processing and transfer of data), we act in accordance with the respective legal regulations. The following declarations provide an overview of the type of data that is collected, how we use and forward this data, the security measures we take to protect your data and the way in which you receive information about the information provided to us.

1. Collection and storage of personal data

1.1 Personal data refers to details about the personal or professional circumstances of a specific natural person or natural person that can be identified, such as name, address, telephone number, date of birth, bank details and IP address.

1.2 The following data is logged during the use of MyTelio websites, whereby this data is stored exclusively for internal, system-related and statistical purposes:

1.4 Further personal data is recorded only if you voluntarily provide us with this data, when you register with us, for example.

1.5 In order to utilise the services of MyTelio, you will need to register with us. During the registration process, we will request from you all of the data we require in order to implement and perform the MyTelio services offered:

1.6 You will also need to choose a username and password, which will enable you to log in more easily, without the need to enter your details again, and provide you with access to all MyTelio services. We will store the data you enter to set up a user account, via which you can access MyTelio’s services. We will store this data for your future use of MyTelio services until such time as you close your user account with us. You have the right to view, correct and delete your registration and account data at any time. We will delete your registration and user account data within the legally required period, but no later than two years after your last login to MyTelio’s websites.

2. Use, disclosure and deletion of personal data

2.1 We will use the personal data provided by you to set up, manage and operate your user account as well as for the technical administration of MyTelio's websites.

2.2 We will not disclose, sell or otherwise transfer your personal data to third parties unless this is necessary for the purpose of performing MyTelio services or for accounting purposes. For example, within the scope of the relevant prison's content control of the emails that you send to inmates via MyTelio's websites, we may be required, on request, to pass on some or all of your personal data to the relevant prison. We will pass on your personal data only to public authorities and only on request, and not to any commercial third parties. Moreover, we do not exclude the possibility that we may pass on anonymised user data for the purpose of market research or other statistical evaluation purposes. In this case, it will not be possible to identify individual users.

2.3 Please note that on the request of the relevant authority, we are in individual cases entitled to provide information on data where this is necessary and legally permissible in order to carry out prosecution proceedings, to enable the police forces of the Dutch federal states to prevent crimes, to fulfil the statutory tasks of the constitution protection authorities of the Dutch federal government, Federal Intelligence Services or Military Counter-Intelligence Service or to uphold the legitimate interests of third parties.

3. Security advice

3.1 We have implemented a number of security measures to adequately protect your personal data.

3.2 Our databases are protected by physical, technical and procedural measures that restrict information access to authorised persons in accordance with this Privacy Statement. Our information systems are maintained behind a software firewall to isolate them from access by other networks connected to the internet. Only employees of MyTelio who need the information to perform a specific job are granted access to personal data. Our employees are trained in security and data privacy.

3.3 Personal data collected via MyTelio websites is transferred in encrypted form using industry standard Secure Socket Layer ("SSL") technology. Sensitive information, such as payment transaction details, is encrypted for added protection.

3.4 It is imperative that you do not disclose your password for accessing your user account to third parties and that you change your password on a regular basis. Once you have left MyTelio's websites, please make sure that you log out and close your browser to prevent unauthorised access to your user account by third parties.

3.5 We cannot guarantee complete data privacy for communication by email.

4. Cookies

Microsoft Internet Explorer: Right-click in the form and choose "Properties" from the context menu. In the window that then appears, you can see the type of encryption under "Connection".

Mozilla Firefox: Right-click in the form and choose "Display page information" from the context menu. The information about the page is displayed in the lower half of the window that then opens.
